Depending on how you interact with us, we may collect:
• Your name
• Contact details, such as phone number, email address, and postal address
• Appointment and booking details, including the services you book, appointment times, and your booking history
• Skin and health information you share with us during consultations and treatments — for example, skin conditions, allergies, and medical history relevant to your treatment
• Payment-related information. Payments are processed by Fresha, our third-party booking and payment platform. WOW Clinic does not directly collect or store your full card details — Fresha handles this
• General website usage information, such as pages viewed and how visitors use our website
We collect personal information:
• When you make a booking through Fresha
• In person, during consultations and treatments at our clinic
• Through our website, including via cookies and similar technologies (see Section 7)
We use your personal information to:
• Provide and personalise your treatments
• Process your bookings and payments, through Fresha
• Communicate with you about your appointments — confirmations, reminders, and changes
• Send you marketing communications, but only if you have given us your consent. You can opt out at any time
• Improve our services
• Meet our legal obligations
Some of what you tell us — details about your skin and your health — is classed as "sensitive information" under the Privacy Act 1988 (Cth). We treat it with extra care.
We only collect sensitive information with your consent, generally when you discuss your skin or health during a consultation or treatment. We only use it to provide and tailor your treatment, and for no other purpose without your consent.
We do not share your sensitive health or skin information with Fresha or Meta. It stays within WOW Clinic and is used only by the people involved in your care.
We do not sell your personal information. We only disclose it in these circumstances:
• Fresha — our booking and payment platform. Fresha processes your booking and payment details on our behalf.
• Meta — we use the Meta Pixel on our website, which shares certain website usage information with Meta for advertising and to measure how our ads are performing.
• Law enforcement and legal requirements — we may disclose personal information where required or authorised by law, such as in response to a court order or a lawful request from a government or regulatory body.
Overseas disclosure
Some of the third parties we use, including Fresha and Meta, may store or handle your personal information outside Australia. Where this happens, we take reasonable steps to ensure your information continues to be handled in a way that's consistent with the Australian Privacy Principles. For details on how Fresha and Meta handle information they hold, please refer to their own privacy policies, available on their websites.
We do not disclose your personal information to anyone else without your consent.
Our website uses cookies and similar tracking technologies, including the Meta Pixel.
The Meta Pixel is a small piece of code from Meta (the company behind Facebook and Instagram) placed on our website. It lets us see, in a general way, how people interact with our website after clicking one of our ads, and helps us measure how well our advertising is working. It may also help Meta show you more relevant ads on its platforms.
You can control cookies through your browser settings, and manage how Meta uses your information through your Facebook or Instagram account settings.
We take reasonable steps to protect the personal information we hold from misuse, loss, and unauthorised access, modification, or disclosure. This includes using Fresha, a third-party platform, to handle payment processing so we don't store your card details ourselves.
No method of storing or sending information over the internet is completely secure, and we can't guarantee absolute security. If we become aware of a data breach likely to cause serious harm, we will act in line with our obligations under the Privacy Act 1988 (Cth).
We keep personal information for as long as we reasonably need it — to provide our services, meet our legal obligations, and resolve any disputes. When we no longer need it for these purposes, we take reasonable steps to destroy or de-identify it.
You can ask for access to the personal information we hold about you, and ask us to correct it if it's wrong or out of date. To make a request, contact us at info@wowclinic.com.au. We will respond within a reasonable time. If there's a valid reason under the Privacy Act why we can't give you full access, we will explain why.
If you're concerned about how we've handled your personal information, contact us first at info@wowclinic.com.au or 0498 000 783, so we can try to resolve it directly. We will look into your complaint and respond within a reasonable time.
If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC), the independent body that oversees privacy in Australia:
• Website: www.oaic.gov.au
• Phone: 1300 363 992
We may update this Privacy Policy from time to time — for example, if our practices change or the law requires it. The updated version will be posted on this page with a new "last updated" date.
